Privacy and data handling
Meeting content is among the most sensitive data in a company. This page states plainly what MeetingSurf touches, who can see it, and how to get rid of it. Read it before you invite anyone to your workspace.
What we read
MeetingSurf reads only the Google Meet notes documents that Gemini saves to the Drive accounts you explicitly connect. It does not read your wider Drive, your email, or recordings and transcripts.
What we store
For each meeting: title, start time, attendee email addresses as listed in the notes, the summary and key points Google wrote, the extracted next steps, a link to the original document, and a log of what was sent to Slack and your task app. Original next-step wording is kept alongside corrections so changes stay auditable.
Who can see a meeting
The person whose connected Drive it came from, anyone whose email appears as an attendee in the notes, and workspace admins. Nothing else. This is enforced by row-level security in the database, so it applies to every request, not just the interface.
Per-user opt-out
Every teammate can pause processing of their own meetings from their profile at any time. While paused, their notes are skipped entirely — nothing is stored, posted to Slack, or turned into a task.
Retention and deletion
Meeting content is deleted automatically once it passes the workspace retention window, which an admin sets in Settings and which defaults to 90 days. A meeting owner can also delete a single meeting, its next steps and its delivery log immediately from the meeting page. Slack messages and tasks that were already delivered live in those tools and are governed by their own retention.
Third parties
Notes text is passed to an AI model only to extract structured next steps, and it is not used to train models. Summaries go to the Slack channel your admin selects; next steps go to the task destination your admin selects. Nothing is shared beyond those.
Disconnecting
Disconnecting a Google account stops all future processing for that account immediately. Any meeting content already stored is removed on retention expiry, or right away if you delete it.
